Role Overview

The General Volunteer will support a range of MAX Calgary initiatives, including industry panel and mentorship programming, events, and administrative activities. This person will ensure that every episode moves smoothly from recording to publishing while maintaining high standards for quality, consistency, and distribution.

You’ll play a key role in setting up and improving our podcast hosting, distribution, and analytics processes.


Responsibilities

Infrastructure & Setup

  • Configure and manage hosting on Buzzsprout (or equivalent)

  • Set up and maintain RSS feeds and directory submissions (Spotify, Apple, Google, YouTube)

  • Create standardized episode templates for descriptions, tags, and thumbnails

Publishing & Workflow Management

  • Manage episode uploads, metadata, and publishing schedules

  • Coordinate with the Media & Content Volunteer team for timely releases

  • Organize file storage, naming conventions, and backup systems

Analytics & Optimization

  • Monitor listener statistics and platform performance

  • Provide insights to improve reach and engagement

  • Research and implement best practices for podcast SEO and discoverability

Automation & Integrations (Optional)

Job Summary

[Volunteer Position] The City Lead, Vancouver will play a pivotal role in the development of the Vancouver market.  This role involves managing logistics, coordinating with stakeholders, and ensuring a seamless experience for event attendees and program participants.  The City Lead, Vancouver will contribute to the success of MAX’s mission by delivering memorable events that showcase excellence and foster community engagement.

Key Responsibilities

  • Be an owner! You are the face of MAX Mentors for your city and responsible for

driving forward the MAX Mentors vision.

  • Be proactive in taking on responsibility and “doing” things.
  • Work collaboratively with all City Leads, as well as MAX Central.
  • Identify how we can continue to improve our mentorship program.
  • Build the team and focus on volunteer engagement & retention:
    • Work with Human Resources to identify industry managers, event leads, etc. and onboard them, ensure everyone is clear about their roles & responsibilities.
    • Host bi-weekly meetings with your team, ideally in person. Discuss updates, progress, and how we can improve the program.
    • Host quarterly socials (if possible) with your team together and grow connectivity.
    • Stay connected with your volunteers, understand their motivations, and keep them engaged.
  • Deliver a high-quality mentorship program in your city.
    • Oversee the work of the Industry Managers (often you’ll need to jump into make sure things are moving along)
    • Ensure industry managers are meeting all deadlines, and everything is running smoothly.
  • Organize excellent events.
    • Oversee the work done by the City Events team and ensure things are moving as per set timeline; it must happen in parallel to the mentee intake!
    • Ensure each city is organizing 2 mandatory events: Speed Mentoring Meet & Greet and the Graduation.

Qualifications

The successful candidate will be a detail-oriented and organized professional with a passion for coordination and community engagement.  You thrive in dynamic environments and are committed to delivering high-quality experiences.  You have:

  • Strong organizational, communication, negotiation, and multitasking skills.
  • Ability to manage and track expenses effectively.
  • Experience working with cross-functional teams including marketing, design, and communications.
  • Ability to remain calm under pressure and maintain a customer-service mindset.
  • Proficiency in Microsoft Office Suite and Google Workspaces tools.
  • Established relationships with vendors and service providers considered an asset.
  • 3 years of experience working in a corporate setting. 
  • Show up to every scheduled meeting. If unable to attend, please provide a minimum 48 hours’ notice.
  • Respond to emails within 3 days and set an ‘’Out of Office’’ when away on vacation.

Job Summary

The Chapter Development and Outreach Leader will play a pivotal role developing the MAX Calgary chapter along with planning and executing multiple MAX events throughout the year.  This role involves developing and maintaining executive relationships, executing outreach strategies, and overall event management and chapter building.  The Chapter Development and Outreach Leader will contribute to the success of MAX’s mission by delivering memorable events that showcase excellence and foster community engagement.

Key Responsibilities

Community Outreach and Engagement

  • Develop a targeted outreach plan to build and foster relationships with local Muslim organizations, leaders, and individuals to increase chapter visibility and support
  • Lead initiatives to engage new volunteers, community stakeholders, and potential chapter members
  • Generate awareness and support for various MAX events
  • Create mechanisms to gather community input and ensure a localized approach specific to the needs of Muslim leaders and community within Calgary

Strategic Partnership Development

  • Identify and develop strategic partnerships with multinationals, non profits and other organizations
  • Cultivate and secure sponsorships for chapter events and activities
  • Maintain ongoing relationships with sponsors and partners to ensure continued support and engagement

Other

  • Ensure a marketing campaign where content is Calgary specific and reaches a diverse community base to attract a broad pool participants
  • Strengthen collaborations with key organizations to leverage networks and expand program visibility
  • Hire and grow core teams to execute various specific MAX events
  • Coordinate logistics including venue selection, catering, audio/visual setup, and guest accommodations.
  • Oversee registration, RSVP tracking, and attendee communications.
  • Ensure compliance with local regulations and organizational standards.
  • Support the collection, analysis, and reporting of people data to provide actionable insights.

Qualification

  • Ability to remain calm under pressure and maintain a customer-service mindset.
  • Proficiency in Microsoft Office Suite and Google Workspaces tools.
  • Experience in event planning, marketing or volunteer management is considered an asset.
  • 3 years of experience working in a corporate setting.
